By this time, you’ve already checked through your Personal Dashboard and viewed your tasks, projects, etc.  We hope you are enjoying your experience so far.

Now we will discuss about an integral piece of project management, Reporting.

Reports are used to inform team members, stakeholders, program managers, or other staff of any issues, current progress, timelines and more. Reporting is the most important form of communicating project status and progress. Lack of reporting, or lack of transparency, create uneasiness and confusion, and even misinformation among stakeholders, potentially leading to serious consequences. On the other hand, too much reporting can be labor-intensive putting strains on the project managers / PMO and compromising delivery progress.

One option is automated reporting,  and this where Focus HQ’s great Reporting capabilities can help you with.  What exactly do Automated Scheduled Reports mean?

Automated scheduled reports make the process of creating reports and project communication much easier. It automates the report creation as well as distribution, and helps keeping project data current and accurate. The automated reporting function is truly an asset for project managers and a time-saving feature.

On the other hand, Adhoc Reports are completely self-service, empowering the end-user to take charge and create the report they need when they need it.

So, what are the benefits of Reporting? Having one gives you several advantages, such as:

1. Transparency

Focus HQ system does all the “heavy-lifting” via automatic report generation and ensures transparency across the delivery hierarchy (project > program > portfolio > company), and provides stakeholder visibility without additional efforts from the project managers.

2. Control

Reporting, communication, stakeholder management and governance are critical during project execution phase. Fit-for-purpose automatic reports are generated with appropriate contents for the intended audience. For example, delivery vendors will also receive reports with risks/issues/actions relevant to their scope of work.

3. Results

Not only automatic report generation increases visibility and transparency,  it also uplifts the project management behavior and maturity by enforcing and standardizing project management disciplines. It is a sign of a mature delivery organization when it exhibits an unified operating rhythm and project reporting framework.

You can automate reports in Focus HQ weekly, fortnightly, or monthly by setting up a Reporting Schedule – and can generate reports whenever needed via custom reports. The frequency depends on the project reporting cycle set out in the project PMP.

Standard report templates are automatically created during the Planning phase. These templates can be modified to suit individual projects, or additional templates created based on the audience and frequency of the reports.
