  • Project/ Portfolio> Reporting > Weekly/ Monthly/ Toggle On/Off
  • This purpose of this change is to allow the user to toggle ON/OFF the weekly/fortnightly or monthly reporting schedule as alternative reporting options.
  • The toggle will be inside the Monthly Reporting Edit page. Default is toggled ON.
  • The changes are as follows
  • On the Monthly Reporting Schedule Edit Page, Report Type will become a dropdown to choose options either: Monthly or Fortnightly. Default is Monthly.
  • The current Fortnightly Toggle ON/OFF in the Weekly Reporting Schedule will be moved. to the Monthly Reporting Edit Page > Report Type dropdown.
  • When toggled OFF, the input fields are greyed out, reports will not be generated/sent, no email notifications will be sent. On the view screen, it shows that it is toggled OFF 
  • If Monthly Report Type = Fortnightly:
  • (a) Weekly Reporting if toggled ON, will become toggled OFF.
  • (b) Weekly Reporting if toggled OFF, will remain toggled OFF.
  • For users using Fortnightly Reporting the previous Fortnightly reports generated will be kept.
  • ACTION Required, if you are using Fortnightly Reports: The user will need to resave their Reporting template as Fortnightly under the Monthly Reporting Schedule Edit Page.
  • This update will be implemented in:
  • Portfolio Default settings
  • Project Type settings for future projects
  • Projects Templates for existing projects

  • Project> Schedule> Effort monitoring
  • The purpose of the change is to incorporate functionality into the Schedule Module to monitor variances in effort. This update includes the following additional columns for both Pipeline and Execution Schedules to provide the user with the ability to enter actual effort against a task and monitor progress/variances against baseline schedule.
  • Actual Effort – This provides the user with the option to either update the “% Complete Field” or the “Actual Effort” Field.  Updating either field will automatically update the corresponding field. 
  • Remaining Effort – This is a calculation field of effort remaining and is based on a calculation of Effort – Actual Effort e.g. 16hrs – 4hrs = 12hrs
  • Baseline Effort – This is an input field in the Effort column during Phase 3 Kick-off only, which is moved to Baseline effort when the Project is moved to Phase 4 Execution/ Delivery Phase.  If no baseline effort is entered the variance will be zero. 
  • Effort Variance – This is a calculation field based on the variance between Effort (Forecast) and Baseline Effort. 
  • Important Note:
  • Effort must be entered in all columns using the same unit, e.g. hours, days
  • Baseline Effort is no longer editable once a project moved to Phase 4/ Execution
  • Project> Schedule> Date Monitoring
  • The purpose is to include additional columns in the Project Schedule to monitor the progress/variation of duration between Forecast/Actual dates and Baseline dates. This functionality is only available when the project has moved to Phase 4 Execution/Delivery and schedule dates have been baselined.
  • Start Variance – this is a calculation field of duration of days between Baseline Start Date and Start (Forecast/Actual) Dates.  If no baseline start date is entered the variance will zero. 
  • End Variance – this is a calculation field of duration of days between Baseline End Date and Finish (Forecast/Actual) Dates.  If no baseline start date is entered the variance will zero. 
  • Company Settings> Project Configuration> Schedule> Custom Fields
  • The purpose of this change is to include a maximum of six custom fields in the Project Schedule Settings. These are free text fields with 150 Characters.
  • The Company Administrator can configure the Custom fields in the Company Settings Page under Custom Fields - Schedule.
  • These fields will be reflected on task level as a dropdown menu in each Schedule, the Project Manager can select from.
  • This update applies to all existing schedules once configured on company level. The default is they will be blank.

 

  • Project> Schedule> CSV Export/ Import Files
  • The purpose of this change is to include all new columns on Project Schedules (Effort, Date Monitoring and Custom Fields) as follows.
  • CSV Export file includes all new columns as detailed above
  • CSV Import file will only include additional input field Baseline Effort and all Custom Fields
  • Project> Action Tracking> Meeting
  • The purpose of this change is to improve the Meeting functionality by including two additional fields for recording meeting attendance.
  • First field will appear next to each attendee’s name as a dropdown to record the attendance status with the following options:
  • Attended
  • Apology
  • Did not attend
  • Second field Non-Project Attendee(s) is an optional free text field with 25 Characters added to include attendee’s names who are not assigned to the project or are not a Focus HQ User. Next to this the attendance can be recorded as above.



  • These new fields will be available in all past meetings, the default setting against already selected attendees will be Attended.
