Glossary Term | Description |
Adhoc Report | Report that can be generated with only the information they need and be sent to users anytime they need it. |
All Reports | All Project, Program, and Portfolio reports that are associated to a certain user within the company. This allows the user to quickly view and find what applies to just him. |
Date to | The report end date, generally same day report PDF is to be generated and sent to users |
Email Recipients | Key members of a project, program or portfolio who are intended recipients of the Draft and Final PDF version of the report. |
Email To | Recipients of a report who may or may not necessarily be key members of a project, program or portfolio. It is based on email addresses entered as may not be assigned as a user to the project. |
Monthly Report | An automated report that is generated/sent based on a configured monthly schedule and using a default template |
Project Category | Category of the project to describe the high level focus of the project. Having the category defined allows the PM to understand what section of the company the project falls under, assisting with opportunities and portfolio pipeline management. Example dropdown options: * Business Change- Change in policy and practice * Business expansion- Project that assists in business growth/Development * IT & System- Technology projects for the business *Revenue growth- New projects or initiatives to increase revenue for the business * Safety & Compliance- Projects that assist in improved or legal regulations and reducing employee injuries * Sustain capital- Projects around improved budget or spend, or cost cutting initiatives. |
Reports Dashboard | Reports sorted by report type to allow for quick filtering and making it easy to search for needed items. Having the reports sorted by timeframe and type make it easy for the PM to not only find needed reports. This will help in time management as well as overall communication. |
Report Data | Displays the Portfolio report period which is from the Portfolio "start" date up to the current report "end" date |
Report Date | Report end date for schedule reports is the date the report is generated and email notification sent out and for manually created reports date entered by user when report draft is created. |
Report ID | A unique identifier generated and assigned to a Report when created and saved |
Report Period | A specified time period from which all data logged or created will be covered in the report. |
Report Template | Template to which the report will be based on. This can be either default templates or custom templates. |
Report Title | The Name of the report. The report name should outline the contents of the report and how it is linked to the project. |
Report Type | Identifies if report source is a FHQ default template or custom template: * Weekly- reports generated each week using default template * Fortnightly - reports generated each fortnight using default template * Monthly- reports generated each month using default template * Adhoc (Manual) - reports generated using custom template, reporting cycles based on customers configuration |
Reports/ Reporting | Reports comprise of metrics, information, or additional details related to a project. They are used to keep team members, stakeholders, program managers or other staff up to date with the project's issues and progress. Reporting is an essential tool for effective communication. It reduces the likelihood of confusion, delays, rework and mismanagement on a project. |
Send Schedule | Date and time stamp when the PDF version of the report is generated and email notification sent to nominated users. |
User Levels | The project roles/positions of the recipients who received the final PDF version of the report. |
Weekly Report | An automated report that is generated/sent based on a configured weekly schedule and using a default template |
