2. Create a New Change Control Request


1. Once you reach the ‘Change Control’ section, click the ‘+New Change’ icon to add a new Change Control Request.


When creating a Change Control Request make sure you select the correct type. 

Below are the two types of Change Control:


  • Scope Change - a scope change occurs when the approved scope of work changes, leading to a change in cost, effort, or resources.
    • It’s typically driven by new or modified project requirements, additional deliverables, or client-initiated changes.

    • This type of change usually requires formal change control — such as updating the project baseline, revising the schedule, and seeking approval from governance or the sponsor.

    • You can change the schedule’s baseline and forecast end date. You can also change any current and future Baseline and Forecast cost in the budget. 


  • Contingency Change - a contingency change occurs when funds are drawn from or adjusted within the existing approved budget to address unforeseen risks, issues, or uncertainties that were anticipated but not specifically scoped.
    • It’s not about changing the scope — the deliverables remain the same.

    • The contingency is meant to absorb cost impacts due to risk realisation, such as rework, delays, or unplanned resource needs.

    • Typically contingency has been set aside for the project, but is not yet approved as part of the budget.

    • In Focus HQ, a Change Request is required to request these funds and allocate it to your baseline costs. This does not amend your original Baseline Budget, but will display as an approved change to your original budget. 



2. Fill in the following required fields:


Overview

  • Start Date
  • Description
  • Change Control Type - Select from the dropdown the following options: 'Scope Change',  'Contingency'
  • Change Impact - Select from the dropdown the following options: 'Schedule' , 'Budget', 'Benefits', 'Scope', 'Commercial Terms/ Contractual'  


Depending on the Change Impact selected, the following fields are displayed and are needed to be filled up:

ScheduleSchedule Impact (Days)- Input number of days
Baseline End Date Change - A checkbox to be ticked if the Baseline End Date of Execution Project needs to be changed. (Only available if Change Control Type selected is Scope Change.)
BudgetBudget Impact- Select a Cost Type from the dropdown options. Cost Types available are configured in the Company Settings
BenefitsBenefits Impact - Select which Benefit Data Type will be impacted. Dropdown options are: Financial, Number, and Percentage
ScopeScope Change - Input a description of the Scope Change
Commercial Terms/ ContractualCommercial Impact - Input a description of the Commercial Terms/ Contractual Impact

Attachments

You can choose to click the Upload Attachment box and select a file, or you can drag and drop a file in the Upload Attachment box.

You can upload up to 5 files. Make sure that the total file size of your uploaded files is less than or equal to 5MB.


You can download the file you uploaded by clicking the 'Download' icon.

You can also remove the file you uploaded by clicking the 'Delete' icon.

 

3. Once done, click the ‘Save’ button to save the details. You can also click the 'Save' button on the upper-right corner of the page.



Note: Every created Change Control Request, whether User is an Approver or NOT, will go through an Approval Process. This will be reflected in the ‘Pending’ Status tab. (This action sends an Approval Request Email Notification to the Approver/s and action is added in the Project Actions Audit and Overall Actions Log).
